A shared contact log helps athletes, parents and representatives avoid overlapping outreach. Record who owns the conversation and what permission exists to follow up.

01

Record the introduction accurately

Write who introduced whom, on which date and for what purpose.

02

Give each conversation one owner

Agree who sends the next message.

03

Update the log after contact

Record a concise factual note and a next date when one was agreed.

Record the introduction accurately

Write who introduced whom, on which date and for what purpose. An introduction is not permission to claim a partnership or start a mass email sequence. If a friend offers to connect you, wait for the actual introduction before implying the business has agreed to talk. Keep the reason for contact alongside the contact information.

Give each conversation one owner

Agree who sends the next message. Other helpers can contribute background or review a draft without separately approaching the same person. Use simple statuses: introduction offered, introduction made, reply pending, meeting scheduled or closed. Do not mark an introduction as a deal, and do not count several messages as several independent opportunities.

Update the log after contact

Record a concise factual note and a next date when one was agreed. Keep sensitive information out of broadly shared views. If the athlete changes representatives, review access and handoff responsibilities so the brand does not receive contradictory messages. Use the business’s stated preferences when deciding whether another follow-up is appropriate.

Worked example

Fictional example: A parent introduces a lacrosse athlete to a local restaurant owner while an agent is preparing outreach to the same business. The shared log shows the introduction and names the athlete as the conversation owner. The agent provides questions for the meeting instead of sending another first pitch. After the meeting, the athlete records the owner’s request for a revised idea and its due date.

Your working sheet

Copy these prompts into your own project notes. Keep private details in your records, and leave unanswered questions marked as unresolved.

  • Business and contact: use accurate professional details.
  • Introduction source: who connected the people?
  • Purpose: the project or question being discussed.
  • Conversation owner: one person responsible for the next message.
  • Latest outcome: a factual summary, not a sales prediction.
  • Next action: agreed date or a clear closed status.

Before your next step

A contact log is an organization tool, not an entitlement to keep messaging someone. Keep only information needed for the relationship, respect a request to stop contact and use appropriate access controls. Keep referring-person credit separate from merchandise ownership or royalty records; an introduction alone does not establish a payout obligation.
